The role of Procurement Manager, Content and Compliance involves close collaboration with the Global Procurement function to lead the embedding, maintenance, and enhancement of a) a global procurement and contract policy, b) standardized processes, procedures, and tools, c) optimisation of Coupa our Source to pay platform and c) governance and delivery of targeted training. Additionally, this position will assist the Procurement Operations Center of Excellence (CoE) group in leveraging, promoting, and acting on data-driven decisions.

Responsibilities/Deliverables:

Policy and SOP Maintenance:

  • Regularly review and update procurement and contracting policies and SOPs to ensure they reflect current industry best practices and organizational goals.
  • Collaborate with cross-functional teams, including legal, compliance, finance, and operations, to gather feedback and make necessary adjustments to policies and procedures.
  • Ensure that all policies and SOPs are well-documented, easily accessible, and effectively communicated to all relevant stakeholders.
  • Monitor changes in regulations and industry standards to proactively update policies and SOPs, ensuring continued compliance and operational efficiency.
  • Conduct regular audits to ensure adherence to established policies and SOPs and develop corrective action plans as needed.

Communication & Training

  • Key owner of the Procurement communication channels within Procurement, to Jazz Business & External Vendors
  • Lead training content developer and trainer on Procurement processes
  • Continuously update the Source-to-Pay training modules to reflect changes in policies, procedures, and technology.
  • Assess the effectiveness of training and comms through feedback, assessments, and performance metrics, and make improvements as needed.
  • Collaborate with subject matter experts to ensure training content is accurate, relevant, and aligned with organizational objectives.

Procurement Compliance

  • Develop a comprehensive framework to track adherence to procurement policy and processes.
  • Create and implement monitoring mechanisms to identify early warning signs of non-compliance, repeat offenders, and areas for improvement.
  • Partner with other functions, including SOX compliance, to take corrective action and ensure the business has visibility to findings and post-action progress.
  • Address non-compliance by identifying and addressing training gaps, ensuring staff are adequately trained in procurement policies and procedures.
  • Prepare and present compliance reports to senior management, highlighting key findings, actions taken, and progress on compliance initiatives.

Coupa Source to Pay Adoption Management

  • Optimize & Streamline Solution. Assessing Jazz’s solution against best practices to optimize the configuration and identify areas for improvement.
  • Compliance & Efficiencies. Identifying opportunities to improve the user experience and drive compliant behavior.
  • Release Management. Supporting Procurement and IS through major releases, providing impact analysis & demos of new features.
  • Supplier Enablement. Identifying opportunities for increasing content with Jazz’s suppliers and Category Teams, whilst enabling them to manage their own transactions. 
  • Content & visibility of content for Jazzicians.  Identify opportunities for catalogues & punchouts / improving search of content / guide users with forms / advise on change management
  • Advisor on the Coupa Training Path. Improving the knowledge of your team to maximize usage of your Coupa platform and existing features.

Contracting

  • Promote the adoption and engagement of guided buying across the organization through effective communication and training initiatives.
  • Monitor the effectiveness of guided buying initiatives, analyzing data and feedback to adjust strategies and improve efficiency and compliance.
  • Serve as the liaison between the legal and procurement teams to manage and take ownership of the guided buying wave plans

Required Knowledge, Skills, and Abilities

  • Minimum 5 years relevant Procurement experience with progressive responsibility.
  • 5+ years of experience in procurement, with a focus on policy development, training, process improvement, and compliance.
  • Strong knowledge of procurement processes, compliance requirements, and best practices.
  • Excellent communication and presentation skills, with the ability to convey complex information clearly and effectively.
  • Experience with Coupa Business Spend Management Platform and how to develop content and structured forms
  • Knowledge of Source-to-Pay systems and guided buying tools.
  • Expert proficiency in MS Office Suite (Excel, Word, and PowerPoint) and/or other design programs/tools.
  • Proven track-record of informing business stakeholders on data trends and insights to drive decision-making.
  • Demonstrated ability to quickly learn new systems and tools- eagerness to continue improving technical skills and capabilities.
  • Strong process and time management skills- ability to prioritize in a fast-paced, complex environment with conflicting demands.
  •  Ability to work effectively under deadlines and manage multiple projects with evolving requirements.
  • Self-starter with strong customer service, teamwork, and organizational skills.
  • Works independently as well as collaboratively in cross-functional teams.

Required/Preferred Education and Licenses

  • Bachelor’s degree in supply chain management, accounting, finance, or related business discipline
  • Computer literacy with proficiency in Microsoft Office, SAP & Coupa experience an advantage.
