Reporting to the BUD Neuroscience, the successful candidate will provide project management and operational support to maximize the ability of the UK and IRE Neuroscience team to deliver its strategic and tactical plans across the UK and Ireland.
This includes being responsible for operational support, actively managing the Neuroscience budget, contracting and providing support to external events, such as commercial webinars and meetings. The role requires someone who is proactive in reporting on project progress, managing team assets, file storage and document management.
The successful candidate will also be responsible for the preparation, management and delivery of the Monthly Operations meeting to the brand team and the reporting of key operational KPIs at brand team meetings.
Whilst this role is not a scientific nor therapy area subject matter role, due to the breadth of role requirements of the, the job holder will be responsible for ensuring that their day-to-day working is fully compliant with relevant Jazz policies and procedures and with all necessary considerations of the ABPI and IPHA Codes of Practice.
In addition, the Senior Analyst role is expected to engage with projects that are affiliate-wide or broader (regional/ global), where these projects may impact the operations of the Neuroscience affiliate team (20%). In doing so he/she will collaborate closely with all internal/external stakeholders, demonstrate strong attention to detail, excellent communication skills, discretion, leadership and influence, whilst acting as a representative of the neuroscience team (or affiliate).
The Senior Project Manager, because of their experience, understanding of the affiliate processes and technical skills may be involved in supporting the training and roll-out of updates and/or new processes.
Essential Functions/Responsibilities
1.1Business Operations and Analytics:
- Coordinate and track payments, Purchase Requisitions, POs, accruals, tracking invoices/payments and escalating if necessary
- Managing HCP and agency interactions, as required
- Prepare contracts, invoices for suppliers, consultants, agents and HCPs liaising with all internal and external stakeholders
- Coordinate, plan and prepare on and off-site internal neuroscience meetings
- Reporting and co-ordination of commercial assets
- Responsibility for managing and tracking budgets and OPEX, reporting back to Director of Sales, Head of Marketing and the BUD.
1.2 Neuroscience Duties
·Assist as a member of the Neuroscience brand team in the delivery and oversight of the neuroscience strategic and tactical plans. Deliver training and support on project Management across team. Share outputs and actions needed regularly from projects and tool/ functionality changes.
·Co-ordinate the Monthly operations team meeting, including the updating and presentation of the ops tracker dashboard, key Tactics slides and key operational KPIs
·Project management for commercial / educational meetings
·Owner of the commercial assets log and records of commercial assets. Responsible for keeping an active log of commercial assets and updating the brand team on their renewal status
·Liaise with marketing brand managers to ensure co-ordination, preparation and documentation of national/international congresses
·Lead the logistical co-ordination of the neuroscience field-based teams to ensure the smooth delivery and implementation of key programmes and projects
·Material generation and localisation – support high standards in commercial assets and document management through active engagement with with Veeva Promomats and MS Teams monitoring.
·Project liaison with internal stakeholders (incl. legal, compliance, procurement) in accordance with company SOPs and to ensure ABPI Code of Practice standards.
·Deliver continuous improvement initiatives on time and to budget
·Prepare and share analytics on the delivery and effectiveness of key Neuroscience projects to brand team and other internal stakeholders.
1.3Expanded Project Involvement
·Supports with delivery of training of relevant operational processes and onboarding of new staff.
- Assisting in project management of projects, with a cross-functional affiliate approach, as directed.
- Represent affiliate and/ or affiliate on regional/enterprise transformation projects and ensure two way timely insights are shared with stakeholders
- Propose and implement affiliate training/ roll- out for relevant operational global/ regional process/ tool implementation.
1.4Required Knowledge, Skills, and Abilities
- Significant experience in project management
- A self-starter with the ability to manage own workload with a flexible approach
- Ability to proactively anticipate and manage issues before they occur
- The ability to effectively communicate with colleagues of all levels, including senior management
- Excellent organizational skills and attention to detail
- Ability to execute on multiple projects simultaneously
- Ability to collect and analyse data, utilizing appropriate software, to inform and make recommendations to the business
- Previous experience in a pharmaceutical company
- Microsoft Office and Project Management tools proficiency at advanced level
- Maintains knowledge of required SOPs and ABPI/IPHA Code of Practice requirements
- Operates with high regard for professional interactions, integrity and discretion
- Strong company ambassador, representing the UK/Ire business with HCPs and business customers
