Brief Description:

The Manager, Meetings & Conventions will assist in the planning and execution of key internal meetings and the presence of Jazz Pharmaceuticals, Inc. at national and international medical conventions based in the U.S. The Manager must have the ability to assist with several meetings and conventions simultaneously while consistently maintaining the highest level of customer satisfaction.

The person in this role must develop a solid understanding of the goals and objectives of the business to which they are aligned and partner fully with key stakeholders from their core customer groups.

The Manager must also effectively and efficiently partner with third-party vendors, including but not limited to, meeting planners, creative agencies, software vendors and fulfillment providers.

Essential Functions

  • Participate in the strategic planning process for meetings and conferences and help to ensure that assigned events are executed in alignment with that strategy and with all applicable compliance requirements.

  • Assume a key role in the planning of assigned events, organizing and facilitating planning meetings, helping to ensure that all stakeholders are heard, action items are documented, and decisions are pulled through.

  • Execute on all assigned meeting logistics for live, virtual or hybrid meetings including budgeting, site inspections, contract negotiations, attendee communications, travel, accommodation and meeting space, food and beverage, conference materials, attendee activities, and VIPs. 

  • Serve as the key contact onsite for assigned events, overseeing all third-party partners and teammates as appropriate, to ensure that each conference is successfully executed to an exceptional level. 

  • Create and monitor the budget for each of the meetings assigned, working with Finance to ensure appropriate payments, accruals and tracking reports are executed. Assist with the oversight of all venue and third-part vendor billing and help ensure final reconciliation of payments and budgets in a timely manner.

  • Close out each assigned event by generating post-meeting questionnaires as appropriate, sharing lessons learned with teammates and key stakeholders and archiving all pertinent meeting materials to ensure adherence with the Jazz document retention policy

  • Stay current on applicable compliance and regulatory rules and guidelines consistently operating within all applicable regulations as well as all Jazz standard operating procedures.

  • Proactively contribute towards the success of the Meetings and Conventions team with a focus on relationship building, customer service and problem solving.  Support teammates with their assigned events as needed.

Required Knowledge, Skills, and Abilities

  • 3+ years of relevant experience in the healthcare industry

  • 2+ years’ experience in meeting management or event planning

  • Previous experience working closely with vendor-partners including third party service providers

  • Knowledge of meeting planning services, technologies, compliance, and regulatory requirements a plus

  • Experience with virtual meeting platforms

  • Prior experience with budget development and management

  • Proven ability to collaborate effectively with internal and external partners to meet a common goal

  • Demonstrated excellence in organizational and communication skills

  • Effective team player possessing enthusiasm and a problem-solving attitude

Required/Preferred Education and Licenses

  • Bachelor's Degree required

  • Certified Meeting Professional (CMP) designation or equivalent, a plus

Jazz Pharmaceuticals, Inc. is committed to fair and equitable compensation practices and we strive to provide employees with total compensation packages that are market competitive. For this role, the full and complete base pay range is: $104,800.00 - $157,200.00

Individual compensation paid within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, and other pertinent factors. The goal is to ensure fair and competitive compensation aligned with the candidate's expertise and contributions, within the established pay framework and our Total Compensation philosophy. Internal equity considerations will also influence individual base pay decisions. This range will be reviewed on a regular basis.

At Jazz, your base pay is only one part of your total compensation package. The successful candidate may also be eligible for a discretionary annual cash bonus or incentive compensation (depending on the role), in accordance with the terms of the Company's Global Cash Bonus Plan or Incentive Compensation Plan, as well as discretionary equity grants in accordance with Jazz's Long Term Equity Incentive Plan.
